About the Program
The Cost per Copy (CPC) Program is a campus-wide program created to monitor and negotiate copier costs for the entire campus. Our mission is to provide efficient and reliable copy equipment and service to meet the needs of California State University Northridge instructional, service, and administrative units.
All copiers must be ordered through the Campus Copier Program to take advantage of reduced prices negotiated by Contracts & Procurement Services using the CSU Omnia Contract C-CALST-0003856.
The CPC Program allows departments on campus to lease or purchase state-of-the-art multifunction printers (MFP) and copier equipment for their copying, printing, scanning, and faxing needs. Supplies and services are included for worry-free maintenance.

Copier Service
If your copier requires supplies or service, please get in touch with the vendor using the phone number on the service tag on the front of the device.
Common service items include:
- Paper jams
- Installation of print drivers. For Administrative divisions, use self-service print driver installation at https://csun.printercloud.com. For instructions on how to connect to a printer, please visit this page: https://www.csun.edu/it/printing
- Faxing or scanning problems
- Poor print quality
You will be asked for your equipment serial number, a description of the problem (service, toner, staples), and your name and contact information.
Once the technician receives the request from Dispatch, you will receive a call with an ETA for service.
Copier Supplies
If your copier requires supplies such as toner or staples, please get in touch with the vendor using the phone number on the service tag located on the front of the device.
You will be asked for your equipment serial number, a description of request (toner/staples), your name and contact information.
Once the vendor receives the request you will receive a confirmation communication.
Copier paper should be ordered from Staples Advantage in CSUBUY.
Update/Change Copier Details
To update details about your copier, including chargeback and department contact information, please contact Reprographics
Remove / Move a Copier
MOVE
If you are moving a Copier to another department:
CPC Program staff must be notified if any copier is being moved to another department so we can update our billing information and close out any outstanding copier charges. Any departments not providing notice that a copier has been moved are responsible for any charges associated with the serial number until adequately notified. Please provide the following information for the existing and new departments.

REMOVE
If you are removing a copier from the program permanently
Follow the steps outlined below:
- Please provide the final meter read to CPC Staff so we can generate a final invoice
- In compliance with IT Security Office policies, when department copiers are removed from campus, all hard drives are to be wiped by the department IT technician, deleting all data (including memory), then removed, drilled, and turned over to the Asset Management department for destruction. Please contact your department's IT services to complete this request.
- Navigate to https://www.csun.edu/facilities/asset-management and fill out the Surplus Property / Equipment Decommissioning - Form 116
- After completing the form, please contact CSUN Postal to remove the unit at mail-services@csun.edu.
Return Printer Cartridges
Printer cartridges that are well-sealed can be sent by intercampus mail to MD 8234. Please ensure the cartridges are correctly sealed to avoid damage to other goods and mail.
Copier Data Security
In compliance with IT Security Office policies, when department copiers are removed from campus, all hard drives are to be wiped by the department IT technician, deleting all data (including memory), then removed, drilled, and turned over to the Asset Management department for destruction. Please contact your department's IT services to complete this request.
Monthly Invoicing
Monthly invoices for total copies made are generated and sent to the appropriate department contacts by the first week of each month. These invoices must be inspected for accuracy – any discrepancies should be communicated to the CPC staff as soon as possible.
Departments must collaborate with their IT departments to ensure that copiers are on the network and consistently reporting meter reads. Department staff must manually report meter reads on the first of each month via email for any copiers, not on the network or machines that require split invoices.
An open chargeback is required at all times to cover expenses. Please create one chargeback per copier serial number, including the serial number on the chargeback notes, to ensure proper payment application. If you lease a copier, create a separate chargeback for the monthly lease payments. Departments must always maintain a fully funded, open, and available chargeback. Please use REP as the provider.

LEASE
Leasing a copier has never been easier! Enjoy the convenience of having a copier and networked printer in your office without the significant capital outlay required for an outright purchase. As your needs change, the FMV Lease option allows you to upgrade to a newer model quickly and easily.
60-Month FMV (Fair Market Value) Lease
Offers a lower lease price to minimize financial impact, making it easier to upgrade your copier frequently. This option is ideal for users with high-volume copying needs.
60 Month $1 Out Lease
Once the lease agreement expires, ownership of the copier transfers to the user. This option is typically suited for those who make a smaller volume of copies.

Why does PPM charge a fee for the Campus Copier Program?
Copier fees cover a range of services, including a copier service agreement, maintenance, repairs, and supplies.
What Is a Copier Service Agreement?
When you purchase or lease a copier, it automatically includes a manufacturer's warranty. This warranty is designed to protect you against issues resulting from manufacturing defects or premature failure. It is particularly beneficial as it covers repair costs for any defects within a specified period.
Additionally, the copier service agreement plays a key role. This service agreement is essentially a maintenance contract provided by the service provider, similar to a vehicle maintenance package. It covers any quality issues, necessary repairs to ensure optimal performance, required parts, and associated labor costs during maintenance visits.
Copier fees include maintenance, toner, parts, labor, and repairs for normal wear and tear. Paper and staples are not included. Shipping costs for all supplies and parts are covered.
Predictability
Copier service agreements provide assurance that, in the event of a malfunction, you can promptly contact the service provider, and a technician will be dispatched to repair the device, minimizing any potential delays. Additionally, there are no unexpected costs, allowing for better predictability of your monthly expenses.

For most organizations, the copier workflow is critical to the efficient operation of the business. Any disruption in this process can significantly impact business functions. A service agreement ensures that, in the event of a breakdown, productivity is restored quickly with guaranteed prompt service.
A copier service agreement offers peace of mind by ensuring proper maintenance without the concern of unexpected repair costs. Additionally, toner is automatically shipped to your organization. Consider this service agreement as a form of insurance, providing coverage in case of unexpected equipment jams or breakdowns.
Training
Training is essential for all employees who use the printer and copier. Certain components of the machine should not be touched, even during a reboot, as damage to these parts can be Campusly and may not be covered under the maintenance agreement.
