Planning a Conference

Conference Services welcomes you to California State University, Northridge for your next event. We combine concierge service with the accommodations and amenities of one of southern California's top universities. Our team of Conference Assistants help to create a unique and memorable experience. In the sections below, you will find the information needed to plan a conference including apartment features, rates, meeting and recreational locations, dining and payments.

Apartments at University Park

Our conference suites are two-bedroom apartments that accommodate up to four guests. Each apartment has a living room, full bathroom, and private balcony. All apartments are furnished with beds, desks, sofas, tables, and chairs. Most apartments have a kitchen.

Rates (Per Apartment or Suite/Per Night)

At CSUN Conference Services, our apartments or suites accommodate up to a maximum of 4 participants. Our nightly pricing is based on the apartment/suite. Clients will rent the apartment/suite at a nightly rate of $120.00. Clients can then assign each apartment/suite from 1 to up to 4 participants.

In the fully furnished two-bedroom apartments, some with full kitchens, the maximum is two participants per bedroom with a total of 4 participants sharing one in-suite bathroom. The cost per night for a two-bedroom apartment is $120.00.

In the suites which are furnished with two beds and two desks, the maximum is two participants per bedroom and there are two bedrooms which share one bathroom located across the hall. The cost per night for a two-bedroom suite is $120.00.

Linen packages are available at an extra cost which is per participant/per night.

Parking

Parking is available on the university campus and Student Housing by permit only. Daily permits for use in Student Housing can be purchased at kiosks located in the G9 Parking Structure and parking lots F9 and F10. For conference groups who wish to purchase summer weekly permits, please contact the Conference Services & Guest Housing Office at conferences@csun.edu or by calling 818-677-4986.

Regulations

Guests are responsible for abiding by the rules that benefit conference participants and the residential community. The Regulations for Conference Guest Conduct document explains policies on alcohol, computer use, weapons, quiet hours, room principles, safety, and security.

Rooms in Student Housing Complex

The Student Housing complex features several meeting spaces to facilitate classes and program events and there are common area lounges that could be utilized for breakout sessions and relaxation for small groups.

Campus Classrooms

If you are interested in classroom facilities, you’ll work with the Conference Coordinator to secure classroom space on campus. Those rates for the fiscal year 2023-2024 are $179.00 per classroom for a daily rate and $108.00 per classroom for the half-day rate. Campus classrooms accommodate up to 15 students per classroom.

Local attractions

University Dining Services

Conference groups will work with the Conference Coordinator to arrange for meals at the G’mos dining hall located in the Student Housing complex prior to their arrival.

G’mos

G’mos is a themed dining hall that features dishes from a variety of cultures. There is a selection of meals including vegetarian options and meals can be arranged for individuals with food allergies, or on special diets.

The Orchard Conference Center and Catering

The Orchard Conference Center and Catering is the best-kept secret in Northridge. Located on the southeast side of campus. Reach out to the Orchard Conference Center directly for catering needs at https://www.orchardconferencecenter.com.

A certificate of insurance and an endorsement page, naming the university and its auxiliaries as additionally insured, must be on file with the University as signed off on in the License Agreement. Conference groups will not be allowed to bring participants onto Student Housing grounds without the appropriate insurance, nor will keys be distributed to the group.

Lost room keys and meal cards

Charges for lost or misplaced room keys and/or meal cards that cannot be collected from the individual participant will be charged to the conference organizers.

Reservations, contracting, deposits, and payments

The Conference Services staff can assist you in making an initial reservation. Once the initial reservation is made, we will send a proposal and conference license agreement outlining the expected costs and contractual details of your stay at CSUN. Your reservation will be in effect once Conference Services receives a deposit and a signed license agreement with approved insurance and endorsement.

A complete participation list must be provided to the Conference Services office no later than 15 days prior to your contracted date of arrival.

Changes to the services indicated in your Conference Services License Agreement will be reflected in a payment summary provided within 30 days of the end of your stay and must be paid within 30 days of the completion of your program. Disputes related to charges on your final payment summary must be made in writing within 30 days of receipt of the payment summary.

Cancellation policy

If the Conference Organization cancels the License Agreement in writing by mail, fax or email, at least 30 days before the start date of their conference, Conference Organization will receive a full refund of their deposit.  If a Conference Service Organization cancels between 29 and 10 days of the start of their reservation, the Conference Organization will be responsible for a cancellation fee equal to 85% of the total charges.  If the Conference Organization cancels the License Agreement prior to the check in date by 10 days or less, the Conference Organization is responsible for total charges.      

The following checklist will help you plan your event at CSUN.

First step

  • Select desired dates and possible alternate dates.
  • Determine your meal schedule requirements.
  • Estimate resident and commuter guests’ attendance.
  • Determine meeting and exhibit space needs.
  • Determine special food service needs such as catering, breaks, and refreshment service.

Second step

Fill out the Summer Conference Inquiry form to provide us with information about your organization, and the purpose of the conference and email any available printed material regarding your previous conference programs and place a tentative hold on your desired dates. Email the completed Conference Inquiry form to conferences@csun.edu.

  • Schedule a tour of the housing, food services, and meeting facilities.
  • Place a tentative hold on the desired meeting and exhibit space.

Third step

  • Confirm all tentative arrangements given to the Conference Services office.
  • Review and sign the license agreement and other contracts as necessary and submit insurance documents and endorsement page
  • Send remaining copies of the lease agreement with a deposit to the university Conference Services office by the indicated date. A copy of all signed material will be returned once university signatures are in place.

One month prior to the conference

  • Provide a housing list with participants paired if possible.
  • Pay balance of service payments.
  • Submit the final written agenda, program, or conference brochure.
