December 25, 26, 27, 28 and January 1 are University observed holidays. However, Friday, December 29 is not covered by an observed holiday. Eligible employees may charge their absence on this date to accrued leave time, i.e.: vacation, personal holiday, or if appropriate, Compensatory Time Off (CTO). Employees who are employed on an academic year basis or who are not scheduled to work on December 29 (i.e. hourly/intermittent employees) are exempt from charging leave accruals for this day. Consult with your manager if you have questions.
The Spring 2023 semester officially begins Wednesday, January 17, 2024, with instruction beginning Saturday, January 20th for classes meeting on weekends, and Monday, January 22nd for weekday schedules.
As a reminder, CSU policy restricts Student Assistant work time. In addition, the Internal Revenue Service guidelines for student assistants to remain exempt from social security and Medicare deductions, limits their normal working hours to 20 during the school year. An exception is allowed during winter inter-session, spring break, and summer session.
The following information is provided as we approach the Winter Break and transition between semesters.
Split Weeks
When the academic semester starts, or ends, in the middle of a work week it is a “split” week. Students may work up to a maximum of 28 hours during this period.
The first day of the Spring 2024 semester is Wednesday, January 17th. An example of the allowable hours for the week of 1/15/24 through 1/19/24:
Rest Breaks & Meal Periods
Generally, students shall be given a 15-minute break during a 4-hour shift, and at least a 30-minute break for lunch during a 5 to 6-hour shift. The 15-minute break is paid time; the 30-minute lunch is unpaid time. The 15-minute break cannot be accumulated for lunch and cannot alter the normal work schedule. Remember - current and past (up to four years) W-2 and monthly earning statements are available online through your Cal Employee Connect account.
If you are not enrolled in Direct Deposit, or your Direct Deposit has not taken effect yet, due to the campus closure on December 29th, 2023, employees expecting to pick up their live pay warrant on this day for the December monthly pay period must submit the DECEMBER 2023 PAY WARRANT PICK UP Adobe Sign form. The form can be accessed here.
Employees who do not turn in this form will not be able to pick up their pay warrant on this day and must wait for the normal distribution from the DDR once campus reopens the following week. This form only applies to the December monthly pay warrants and does not apply to mid-month warrants for Student and Graduate Assistants.
If you wish to pick up your live pay warrant on December 29th, please submit the DECEMBER 2023 PAY WARRANT PICK UP form through Adobe Sign by Friday, December 15th, 2023. Note, the 5-Digit Dept ID# on the form must reflect the same department number listed on your previous live warrants.
Live warrants will be available for pick up on Friday, December 29th from 12:00 p.m. – 2:00 p.m. at the front counter of University Cash Services in the lobby of Bayramian Hall. A CSUN ID will be required to release your warrant. If you are employed by more than one department and receive more than one pay warrant, please submit a separate form for each department. All remaining live pay warrants will be available through regular distribution to DDRs on January 2nd , 2024.

Dependent Re-verification (DRV) is the process of re-verifying the eligibility of your spouse, domestic partner, children, stepchildren, and domestic partner children (family members) enrolled for state health and dental benefits. Government Code section 22843.1 mandates re-verifying the eligibility of your family members. Government Code section 22959 authorizes extending this review to your family members enrolled for dental benefits.
Please complete and submit your required documents prior to January 1, 2024 in order for your dependent(s) to continue receiving health coverage and avoid cancellation on February 1, 2024.
Effective January 1, 2024, the California State Minimum Wage will increase to $16.00 per hour.
Human Resources will apply changes for active employees below the new minimum; no additional data entry or action by the department is required. HR will provide additional processing information as soon as it is available.

Part Time Faculty, Teaching Associate and Graduate Assistant Module entry deadlines:
1. No later than the effective date of the appointment
2. Example: Lecturers who start effective 01/17/2024 must have signed in by that date
3. Sign-ins are conducted by appointment only. Please e-mail hrcustomerservice@csun.edu to schedule an appointment for any new faculty or student employee. Additionally, attach a copy of the New Employee Sign-In Form to your appointment request e-mail. This form is generally provided to you by the hiring department. You will receive a response from our HR Customer Service Team within 48 hours, Monday - Friday.
Please remember to check your January pay warrant for your premium deduction and report any discrepancies to your Benefits Representative. If you made any changes during the Fall 2023 Open Enrollment Period, your new plan(s) and premium should be reflected on your January 2024 pay warrant. In addition, you should receive written confirmation from your health plan and identification cards (as applicable) in mid-December. Watch out for these in your home mailbox.

As a reminder, you can view your benefit elections under the Benefits Summary and the Dependent and Beneficiary Coverage Summary in the portal. If you submitted forms to make changes as part of Open Enrollment, change the date to 1/1/2024 and select Go.

The Work Number is available to those needing your information 24 hours a day. No waiting for your lender or landlord to exchange paperwork with your employer to help close the deal.
Consent
You authorize credentialed verifiers to retrieve your income information by signing a borrowers authorization form, an application for a benefit (such as a loan or social service request), or by creating a salary key (a onetime access code).
Security
The Work Number database uses stringent security standards to help protect your data. There are also controls in place by law (the Fair Credit Reporting Act) to help protect your privacy.
Another plus with The Work Number service is it lets you check to make sure your information is correct. The Employment Data Report (EDR) is required by the Fair Credit Reporting Act (FCRA) so you can see your personal information and who was provided that information.

Vaccinations against COVID-19 are no longer required. The CSU COVID-19 Vaccination Policy has been updated to strongly recommend COVID-19 vaccinations and boosters for faculty, staff and students who are accessing university facilities or programs.
For individuals who prefer to wear masks, we welcome this and support your decision to do so.
