Student Assistant Hiring & Scheduling Reminder
With the beginning of the Academic Year soon upon us, the following guidelines regarding Student Assistant hiring and scheduling are provided:
Semester Breaks
When school is not in session due to semester breaks (outside of the academic semester), continuing Student Assistants may work up to a maximum of 40 hours per week, but may not be scheduled to work overtime. Overtime is defined as more than 40 hours per work week (work week is defined as Sunday through Saturday). A schedule may exceed 8 hours a day provided the total for the work week does not exceed 40 hours. The Controller's Office will not issue payments to Student Assistants in excess of 168 hours for a 21-day period, nor in excess of 176 hours for a 22-day period.
Academic Semesters
During the Academic Semester (please see CSUN campus academic calendar), Student Assistants may work up to, but not in excess of, 20 hours per week total in all positions combined. The beginning of the Fall semester, as indicated on the Academic Calendar, is August 24th. First-time students, beginning in the Fall semester, may start working as a Student Assistant August 2nd.
Split Weeks
When the academic semester starts, or ends, in the middle of a work week it is a “split” week.
The last day of the summer break is Tuesday, August 23rd. The allowed hours for the week of 08/22/16 through 08/26/16 are:
· Monday = 8 hours
· Tuesday = 8 hours
· Wednesday = 4 hours
· Thursday = 4 hours
· Friday = 4 hours
· Total hours that can be worked in this “split” week scenario is 28 hours.

Background Check Requests Added to Campus Chargeback Module
Since implementation of the Background Check policy last August, we have processed more than 1,750 background check requests.
Effective July 1, 2016, “Background Check” was added as a service provider to the chargeback module. Thanks to the dedication of our Finance partners, this method replaces the background check request form and the manual budget invoice/transfer process which had occurred at periodic intervals throughout the year. The chargeback process allows for more timely fund transfers to assist with your budgeting – providing cumulative totals for accurate encumbrances, as well as deliver the ability to input multiple background checks on one charge back and include attachments.
• For MPP and Staff:
Since the Background Check chargeback module is simply a budgetary transaction method, we will still need to maintain recruitment data through Recruiting Solutions. As such, information on the selected candidate, salary, start date, and request to initiate the background check for staff/management will still be handled through Recruiting Solutions, with the hiring department then submitting a chargeback request to address the budget transfers associated with the background check.
• For Faculty, Student Assistants and any other transactions not processed through Recruiting Solutions:
The Background Check chargeback module completely replaces the request form. All requests for background checks and budgetary transfers are to be submitted through the charge back module. Departments should continue the current procedures for these recruitments and candidates may not begin employment until the background check has cleared.
Results of all candidate’s clearance will continue to be provided to you via email as soon as it is received. Please note that in order to provide you greater flexibility, we have updated the background check options and adjusted costs accordingly. Details on package options can be found at http://www.csun.edu/hr/background-check-policy.
