Vacation! You've Earned It! - Plan to Use It Before You Lose It!

Whether fulfilling our duties on campus as an essential service provider, or working remotely from home and preparing to return to campus, we all contributed to a successful year of providing services virtually to our campus and community. Making time to relax and refresh is important to both your physical and emotional well-being.

Please take a moment to ensure that your vacation balance as of January 1, 2022 is at or below your maximum carryover per your applicable bargaining agreement. You may view your leave balances online through the portal at www.csun.edu. Once in the portal, find the HR/Employee – Time & Attendance pagelet; click on View Absence Balances.  Also, remember to consider your vacation accruals between now and December when calculating the number of hours you must use before January 1st. December’s accrual should be considered when calculating the year-end balance.  For details concerning the calculation of your “Maximum Carryover Hours” refer to http://www.csun.edu/benefits/vacation. If you are not able to view your balances, please contact your department Timekeeper.

Special note for Faculty: After one (1) full year of employment, a California Faculty Association (R03) employee who accrues vacation [Full-time ten (10) month and twelve (12) month faculty unit employees] shall take at least forty (40) hours of vacation each calendar year. Any part of the forty (40) hours not taken during the calendar year shall be forfeited by January 1 of the subsequent year (Article 34.7).

Even if you're not near your maximum balance, avoid burnout and enjoy the stay-cation you've earned.

Student Employee Summer Wrap-Up and Scheduling Reminder

Wrapping Up Student Summer Employment

As we prepare for the new semester, we would like to remind the campus of some important guidelines for processing student employee appointments, such as the inactivation of the 1874 Summer "Taxable Student Assistant" Job Code.

For details, visit: https://www.csun.edu/sites/default/files/wrapping-up-student-summer-hires.pdf

Reminders for Student Employment and Scheduling

Semester Breaks

When school is not in session due to semester breaks (outside of the academic semester), continuing Student Employees may work up to a maximum of 40 hours per week, but may not be scheduled to work overtime.  Overtime is defined as more than 40 hours per work week (work week is defined as Sunday through Saturday, even when pay period ends in the middle of a week).  A schedule may exceed 8 hours a day provided the total for the work week does not exceed 40 hours. The Controller's Office will not issue payments to Student Employees in excess of 168 hours for a 21-day period, nor in excess of 176 hours for a 22-day period.

Academic Semesters

During the Academic Semester (please see CSUN campus academic calendar), Student Employees may work up to, but not in excess of, 20 hours per week total in all positions combined (NO EXCEPTIONS).  Please remember to coordinate with the student and the other department(s) where there are multiple appointments.

Split Weeks

When the academic semester starts, or ends, in the middle of a work week it is a “split” week.  The FIRST day of the Fall semester is Wednesday, August 19, 2020.

  • Monday =   8 hours
  • Tuesday =   8 hours
  • Wednesday =  4 hours
  • Thursday =  4 hours
  • Friday =   4 hours

Total hours that can be worked in this “split” week scenario is 28 hours.

View Your Current Pay Warrant/Advice Statements & Up To 3 Years of Your W-2 Records with CEC

CSUN employees now have the opportunity to access pay check/direct deposit advice and annual W-2 information through Cal Employee Connect (CEC).  CEC also allows employees to view up to three (3) years of their earnings statements and W-2’s, along with personal information. Cal Employee Connect reduces state costs and workload by providing a tool for all state employees to access their earnings information electronically.

The statements available in CEC provide continuity to the statements previously printed by the SCO. CEC offers a range of tools to help you view your earnings, including a feature to compare statements side-by-side.

To learn more about CEC and how to view pay warrant and W-2 information, visit Cal Employee Connect.

Completing Return to Campus Training, Following Safety Protocols, and How to Report COVID-19 Cases

All Faculty & Staff to Complete "Return to Campus Training"

Because of the “connectedness” nature of our work and the volatility of the pandemic, we must share the responsibility of protecting ourselves and each other. A safe work environment is only possible when everyone participates.

All employees, whether currently working on campus, authorized to return this Summer or currently working from home, are required to complete an online course called “Returning to Campus Guide for Employees.”

The 23-minute online course provides information on CSUN’s COVID-19 guidelines and shared responsibilities, as well as strategies for limiting the spread of the disease.

Here’s a link to access the training directly:

https://CSU.sumtotal.host/core/pillarRedirect?relyingParty=LM&url=app%2Fmanagement%2FLMS_ActDetails.aspx%3FActivityId%3D44856%26UserMode%3D0

Voluntary At-Home COVID19 Testing for Employees Authorized to Work On Campus this Summer

CSUN Faculty and staff approved to work on campus during Summer 2021 are eligible to participate in voluntary COVID-19 testing (at no cost). We have engaged a third-party vendor, Picture, by Fulgent Genetics, to increase our testing capacity and offer free, convenient at-home testing for employees as one of several initiatives in place to mitigate the spread of coronavirus.

Who is the Testing For?

  • Testing is strongly recommended for all CSUN faculty and staff specifically approved to physically work continually or periodically on campus. Auxiliary employees should check with their HR Department.
  • This testing is currently not available to faculty & staff working remotely.
  • Please note: This type of testing is for surveillance testing of asymptomatic individuals (i.e. no symptoms). If you are experiencing COVID-19 symptoms or had close contact with someone diagnosed with COVID-19, we recommend you consult with your personal physician first.  Anyone who has contracted COVID-19 within the last 90 days should not participate in this ongoing testing.
  • There is still value in testing even after vaccination, learn more.

Employee COVID-19 Vaccination Information

In the interest of maintaining the health and safety of students, employees, guests and all members of campus communities, the California State University (CSU) intends to require faculty, staff and students who are accessing campus facilities at any university location to be immunized against SARS-CoV-2, the virus that causes COVID-19. This requirement will be conditioned upon full approval of one or more vaccines by the U.S. Food and Drug Administration (FDA), as well as adequate availability of the fully approved vaccines. This requirement will become effective at the beginning of the Fall 2021 term, or upon full FDA approval of the vaccine, whichever occurs later.

The Los Angeles County Department of Public Health is currently distributing the COVID-19 vaccine to residents in the following groups:

  • All individuals age 12 and older.

More information for LA County residents is available at the COVID-19 Vaccination Hub site.

Celebrating a Birthday In October? Complete CalPERS Dependent Re-Verification Requirement

Dependent Re-verification (DRV) is the process of re-verifying the eligibility of your spouse, domestic partner, children, stepchildren, and domestic partner children (family members) enrolled for state health and dental benefits. Government Code section 22843.1 mandates re-verifying the eligibility of your family members. Government Code section 22959 authorizes extending this review to your family members enrolled for dental benefits.

For those employees with birthdays in October, you do not need to send in the Dependent Eligibility Verification Affidavit mailed to you by CalPERS. As a sustainable and convenient alternative, you will receive an email from Adobe Sign allowing you to complete your required Dependent Eligibility Verification Affidavit and attach the required documents. Please complete and submit your required documents prior to October 1, 2021 order for your dependent(s) to continue receiving health coverage and avoid cancellation on 11/1/21.
