CHRS Recruiting Is Here!
Human Resources is excited to share with you that CHRS Recruiting was launched on July 21, 2020, replacing our current recruitment system, Recruiting Solutions. Position searches that were initiated in Recruiting Solutions will be processed in Recruiting Solutions until filled or closed. Going forward, all new staff and management searches will be processed through CHRS Recruiting. Training for end users is currently underway and will be availaable on as needed basis.

Open Enrollment will take place between Monday, September 21 and Friday, October 16th. Remember, adding or making changes to your benefits as part of Open Enrollment is an easy online process via the eBenefits module in the CSUN portal. Changes made during Open Enrollment become effective January 2021.

State Controller's Office Discontinues Printed Pay Advice Statements | Enroll in CA Employee Connect
Printing of Direct Deposit Advices Discontinued
Effective July 10, 2020 the State Controller's Office (SCO) has permanently discontinued the printing of direct deposit advices for all pay cycles. The SCO will continue to print live warrants, which will be distributed in accordance with campus processes established during virtual operations. CSU employees are encouraged to enroll in California Employee Connect in order to gain online access to pay, direct deposit and W-2 information. Read more below.
Enroll in California Employee Connect
As a California State University (CSU) employee, your pay check/direct deposit advice and annual W-2 are issued (hard copy) by the State Controller’s Office (SCO). Until now, these hard copy documents have been the only means made available to you by the SCO as a record of your earnings.
CSUN employees now have the opportunity to access this information and forms through Cal Employee Connect (CEC) which allows employees to view up to three (3) years of their earnings statements and W-2’s, along with personal information. Cal Employee Connect will ultimately reduce state costs and workload by providing a tool for all state employees to access their earnings information electronically.
The statements available in CEC provide continuity to the statements previously printed by the SCO. CEC offers a range of tools to help you view your earnings, including a feature to compare statements side-by-side.

The annual University Payroll Calendar is a go-to resource for information on when pay warrants issue, when direct deposit is issued, monthly attendance and pay related processing information, and days that the University is closed for campus holidays!

Reminders for Student Employment and Scheduling
Semester Breaks
When school is not in session due to semester breaks (outside of the academic semester), continuing Student Employees may work up to a maximum of 40 hours per week, but may not be scheduled to work overtime. Overtime is defined as more than 40 hours per work week (work week is defined as Sunday through Saturday, even when pay period ends in the middle of a week). A schedule may exceed 8 hours a day provided the total for the work week does not exceed 40 hours. The Controller's Office will not issue payments to Student Employees in excess of 168 hours for a 21-day period, nor in excess of 176 hours for a 22-day period.
Academic Semesters
During the Academic Semester (please see CSUN campus academic calendar), Student Employees may work up to, but not in excess of, 20 hours per week total in all positions combined (NO EXCEPTIONS). Please remember to coordinate with the student and the other department(s) where there are multiple appointments.
Split Weeks
When the academic semester starts, or ends, in the middle of a work week it is a “split” week. The FIRST day of the Fall semester is Wednesday, August 19, 2020.
- Monday = 8 hours
- Tuesday = 8 hours
- Wednesday = 4 hours
- Thursday = 4 hours
- Friday = 4 hours
Total hours that can be worked in this “split” week scenario is 28 hours.
Health and Dependent Care Reimbursement Account Changes for 2020
Due to COVID-19, CSU has adopted temporary plan changes to the CSU Health Care Reimbursement and Dependent Care Reimbursement Plans, which allow employees to make a one-time, mid-year enrollment change prospectively without a qualifying event during the remainder of the 2020 plan year. This one-time, mid-year plan change will allow employees to stop, enroll or change their current monthly contribution for HCRA, DCRA or both plans.
In addition, the plan(s) claims submission deadline for plan year 2019 has been extended (previously June 30th). You will now have 60 days from the date the COVID-19 related National State of Emergency declaration ends to submit claims for expenditures occurring in the 2019 plan year (which includes the two and one-half month grace period from January 1 through March 15, 2020). These changes are part of the federal government’s response to COVID-19 and National State of Emergency declaration.
Upon receipt and successful processing of a completed and signed form, your account(s) will be updated to reflect your requested contribution change. After this one-time exception has been exercised, additional changes will not be permitted during the 2020 plan year unless an approved qualifying event occurs.
Important – HCRA Account Participants Only: You cannot cancel or decrease your HCRA account contributions if you have been reimbursed more than your existing account balance for 2020. Reminder, effective January 1, 2020, over-the-counter drugs and medicines no longer require a prescription; and menstrual care products are an eligible expense.

Health Care Dependent Re-Verification Requirement | Celebrating a Birthday in September?
Dependent Re-Verification (DRV) is the process of re-verifying the eligibility of your spouse, domestic partner, children, stepchildren, and domestic partner children (family members) enrolled for state health and dental benefits. Government Code section 22843.1 mandates re-verifying the eligibility of your family members. Government Code section 22959 authorizes extending this review to your family members enrolled for dental benefits.
- The eligibility of your family members will be re-verified once every three years. The re-verification period is based on your birth month. Employees born during the following months are required to re-verify family members during 2020: March, June, September, and December.
- For those employees with birthdays in September, you do not need to send in the Dependent Eligibility Verification Affidavit mailed to you by CalPERS. As a sustainable and convenient alternative, you will receive an email from Adobe Sign. From that email, you can complete your required Dependent Eligibility Verification Affidavit and attached the required documents. Please complete and submit your required documents prior to September 30, 2020, in order for your dependent(s) to continue receiving health coverage and avoid cancellation on 10/1/2020.

Be Prepared | Complete CSUN Employee Returning to Campus Training
As we continue to manage through the COVID-19 pandemic, those who are returning to campus, and those who are already on site, will notice a number of measures that have been put in place to minimize the spread of infection and keep our workplaces safer for you and your colleagues.
You should have received an email notice that prior to returning to campus to work, CSUN faculty, staff, and student employees are required to complete an online course called “Returning to Campus Guide for Employees.” The notice contained a link to CSU Learn, the Campus Learning Management System.
The 23-minute online course provides information on CSUN’s COVID-19 guidelines and shared responsibilities, as well as strategies for limiting the spread of the disease. Human Resources will assist department heads who are responsible for tracking the training completion for their workgroups.
Please note:
- Employees who are already working on campus should complete the training ASAP.
- For employees returning to campus for work during Fall 2020, the course must be completed before you return to campus. Faculty may complete the training on the first day of the academic year.
- All remaining employees must complete the training before returning to campus or by December 31, whichever occurs first.
A safe work environment is only possible when everyone participates; therefore, some of these actions will require your active engagement. Because of the “connectedness” nature of our work and the volatility of the pandemic, we must share the responsibility of protecting ourselves and each other.

VACATION! You've Earned It - Plan to Use It, Before You Lose It
Whether fulfilling our duties on campus as an essential service provider or working remotely from home, we all contributed to a successful transition to providing services virtually to our campus and community.
Please take a moment to ensure that your vacation balance as of January 1, 2021 is at or below your maximum carryover per your applicable bargaining agreement. You may view your leave balances online through the portal at www.csun.edu. Once in the portal, find the HR/Employee – Time & Attendance pagelet; click on View Absence Balances. If you are not able to view your balances, please contact your department Timekeeper. Also, remember to consider your vacation accruals for November and December when calculating the number of hours you must use before January 1st. For details concerning the calculation of your “Maximum Carryover Hours” refer to http://www.csun.edu/benefits/vacation.
Special note for Faculty: After one (1) full year of employment, a California Faculty Association (R03) employee who accrues vacation [Full-time ten (10) month and twelve (12) month faculty unit employees] shall take at least forty (40) hours of vacation each calendar year. Any part of the forty (40) hours not taken during the calendar year shall be forfeited by January 1 of the subsequent year (Article 34.7).
Even if you're not near your maximum balance, avoid burnout and enjoy the stay-cation you've earned.
COVID-19 Related Leaves for Employees
There are currently three various leave options available for employees: COVID Paid Administrative Leave (CPAL), Families First Coronavirus Act (FFCRA), and Non-Telecommute Workers Leave (NTWL).
Due to the distinct options available, for any time off related to COVID-19 managers and employees should reach out to Human Resources at 818-677-6566 or to consult on which leave type they qualify for and to obtain the appropriate leave form. X HR Launches Employee Demographic Dashboard
HR is pleased to share that a new Employee Demographic dashboard tool is available to you via the myNorthridge Portal.
To access the dashboard, log into the myNorthridge Portal; in the Staff tab, navigate to the Data Spectrum pagelet, and select CSUN HR Employee Demographics
This new feature provides data as of close of business the day before, as well as November 1, and April 1 of each year going back to November 1, 2015. The new Demographics dashboard will replace the pdf “Employee Demographics” static data which was hosted on Human Resources Career’s page.
